Why Do My Flyers Look Washed Out When They Come Back From The Printer?
The washed-out colours on your printed flyers aren't a printer error.
They're the inevitable result of designing in RGB, and your designer should have caught it before sending the file.
Most people assume the printer used cheap ink or got the colours wrong. That's rarely what happened. What happened is you designed for a screen and printed on paper, and those two things use completely different colour systems. Your screen shows RGB. Your printer uses CMYK. They cannot produce the same colours. Ever.
Here's how to check before you order, what to ask your designer, and what to do if you've already printed 5,000 unusable flyers.
The Problem Is Almost Always RGB Files Sent For CMYK Printing
Your screen is backlit. It makes colours by shining red, green, and blue light directly into your eyes. That's RGB. It can show bright, saturated blues, electric greens, and glowing oranges that look vivid because they're literally glowing.
Paper is not backlit. It's reflected light. A printer puts cyan, magenta, yellow, and black ink on paper, and the colour you see is light bouncing off that ink. That's CMYK. It's physically limited to what pigment can reflect, and it's always duller than a screen.
When you design a flyer in Canva, Microsoft Publisher, or Adobe and you don't change the colour mode, you're designing in RGB. The colours you approve look great. You send the file to the printer. The printer either auto-converts it to CMYK or just prints it as-is, and the blues go muddy, the greens go flat, the bright orange goes dull terracotta.
You didn't approve what you got because you never saw what CMYK looks like.
How To Check If Your File Is RGB Or CMYK Before You Send It
Open the PDF you're about to send to the printer.
If you're using Adobe Acrobat Reader, go to File > Properties > Description. Look for the line that says Colour Space. If it says DeviceRGB, your file is RGB. If it says DeviceCMYK, you're fine.
If you don't have Adobe Acrobat, download PDF-XChange Viewer. It's free. Open your PDF. Go to File > Document Properties > Fonts. Look at the colour mode listed next to each embedded image. If everything says CMYK, you're good. If anything says RGB, you need to fix it.
If you designed in Canva, here's what happens: Canva defaults to RGB. When you download a PDF, it stays RGB unless you specifically choose Download > PDF Print and tick the box that says Flatten PDF and convert to CMYK. Most people don't. They hit download, send it to the printer, and wonder why it came back dull.
If you designed in Microsoft Publisher, it's RGB by default and Publisher doesn't convert to CMYK. You need to export it as a PDF, open it in something like Affinity Publisher or send it to someone with Adobe, and convert it there. Or you send it RGB and accept that the colours won't match your screen.
If your designer sent you the file, ask them: "Is this CMYK or RGB?" If they don't know the answer immediately, they didn't check.
What To Tell Your Designer So This Doesn't Happen Again
Say this: "Set up the file in CMYK from the start. Don't design in RGB and convert at the end."
Here's why that matters. If your designer builds the file in RGB, chooses a bright blue that looks perfect, then converts the whole file to CMYK at the end, that blue shifts. It goes duller. They didn't see that shift happen because they already approved the colour in RGB.
If they set the file up in CMYK from the beginning, they see the actual printed colour while they're designing. They choose a blue that works in CMYK. They adjust it until it looks right. When it prints, it matches.
Most professional designers already do this. If yours doesn't, they're not thinking about print. They're thinking about screens.
Can The Printer Convert RGB To CMYK For Me?
Some will. Some won't. The ones that auto-convert without telling you are doing you a favour that often makes things worse.
Here's what happens when a printer auto-converts your RGB file. The software takes the bright RGB blue and maps it to the closest CMYK equivalent. The algorithm doesn't know what your brand blue is. It doesn't know which colours matter to you. It just does a mathematical conversion, and the result is usually dull and slightly off.
High street printers with staff often convert for you and warn you it won't match your screen. Cheap online printers often don't convert at all. They just print what you send and if it's RGB, it prints muddier than it should because they're forcing RGB values through a CMYK printer.
Ask before you order: "Do you auto-convert RGB files to CMYK, or do I need to send CMYK?" If they say they convert, ask if you can see a proof. A proper printer will offer one.
How Do I Know What The Colours Will Actually Look Like When Printed?
You don't. Not from your screen.
Your screen can show colours that CMYK physically cannot reproduce. Bright electric blue, vivid lime green, neon pink - they don't exist in CMYK. They'll always print duller. That's not a printer fault. That's physics.
If you need to know what it will actually look like, order a printed proof. Not a PDF proof. A physical printed proof on the same stock you're using for the final run.
Most flyers and leaflets suppliers offer single-copy proofs for £20-30. If you're ordering 5,000 flyers, that's worth paying. You see the actual colour, the actual finish, the actual paper weight. You either approve it or you adjust the file before committing to the full print run.
If the printer says "we'll send you a digital proof," that's not helpful. A digital proof is still on a screen. It's still RGB. It tells you nothing about what CMYK will look like on paper.
What If I've Already Printed Them And They Look Terrible?
Check what you actually sent.
Open the file you uploaded. Check if it's RGB or CMYK using the steps above. If it's RGB and the printer didn't warn you, you have an argument. Not a great one, but an argument.
Most print terms and conditions say it's your responsibility to supply print-ready files. If you sent RGB, that's not print-ready. But if the printer auto-converted it without showing you a proof or warning you the colours would shift, some will offer a reprint discount or a partial refund as a goodwill gesture.
Be specific when you contact them. Don't say "the colours are wrong." Say: "I sent an RGB file, you converted it to CMYK without sending a proof, and the blue shifted from Pantone 2727 to something closer to Pantone 2728. I approved the RGB version. I didn't approve this."
If you sent CMYK and it still looks wrong, that's either a calibration issue on their end or your expectations don't match what CMYK can do. Ask them to print a single proof of a CMYK test file with the specific blue you want. If that comes back wrong, it's their problem. If it matches the file, your file is the problem.
The One Thing To Remember
The pattern is this: screens glow, paper reflects, and you cannot approve print colours on a screen.
If your designer didn't set the file up in CMYK, they didn't design for print. If the printer didn't offer a proof, they didn't protect you from this. If you didn't check the file before sending it, you own the result.
